Employment for a Finance and Administration Assistant in an NGO

Key areas of accountability

Administration:

  • Day to day running of the office and supervision of ancillary staff;
  • Making arrangements for repairs of faults and damages to the office buildings and overall maintenance of offices;
  • Ensure that all office electricity, telephone and water bills are always up to date;
  • Ensure all administration costs are charged according to the approved office shared cost policy;
  • Production of monthly administration reports

Cash Management:

  • Responsible for the day to day management of office cash holding and the office safe keys;
  • Responsible for the topping up of office cash holding when it reaches the minimum level;
  • Responsible for the processing of cash payments to suppliers and staff;
  • Responsible for ensuring that all supporting documents on cash payments are complete and coding is correct before processing payments;
  • Responsible for maintaining the Sub office cash book on a daily basis;
  • Responsible for the insurance of office cash and cash in transit;
  • Responsible for the issuing out of cash receipts for cash received from staff and third parties;
  • Responsible for the facilitation of office cash counts;
  • Responsible for the Programme advance tracker;
  • Responsible for dealing with payment queries raised by suppliers and staff

Postings:

  • Responsible for capturing all field office data on the offline spreadsheet

Financial Reporting:

  • Responsible for the preparation of the Monthly Financial Statements of the field office;
  • Responsible for the Field office month end cash reconciliation

Filing:

  • Responsible for proper and chronological filing of transaction vouchers and support documentation in accordance with SCI policy;

Stock Take:

  • Responsible for conducting spot checks on stock counts and asset verifications exercises performed by logistic department as per SCI guidelines

Qualifications, skills and experience

  • A minimum of a Diploma in Accounts, Finance/Business studies;
  • Possession of partial professional qualification such as ACCA, CIS, CIMA;
  • Relevant working experience, preferably with International NGOs;
  • Good accounting and finance management skills with knowledge of computer Accounting packages and understanding of basic accounting concepts;
  • Self motivated, flexible with demonstrated ability to meet set deadlines and high good integrity;
  • Fluency in written and spoken English and other vernacular languages (Tonga / Ndebele / Shona);
  • Commitment to Save the Children values, philosophy and Child Safeguarding Policy.
