Purpose of the job

The Company Secretarial Assistant to provide high level support to the Company Secretary in delivering a reliable and superior Company Secretarial service to the CEO, the Global Organisation and its subsidiaries.

Maintenance of JAM International Global legal and trademark records; including a scheduling of renewals and new needs communication with our Company Secretary and trademark legal team.

Reporting directory to the Company Secretary provides support in a one-on-one working relationship.

**. Company Secretary Board Support, and Liaison for JAM**

· Completes a broad variety of administrative tasks for the Company Secretary including: composing and preparing correspondence that is most times confidential

· Serves as the Company Secretary’s administrative liaison to JAM’s Global Board of Directors, when and if required

· Adhere to compliance with applicable rules and regulations set in bylaws regarding Board and Board committee matters

· Notification of planned board meeting to all board members, when and if required

· Assisting the Company Secretary with the sending of the agenda for each Board meeting, as well as a summary of where JAM is at in relation to programmes and funding

· Assisting the Company Secretary with the preparation of the presentation for the CEO to give the Board

· Liaison with the applicable JAM office to ensure that all multimedia is prepared for the CEO’s presentation

· Attendance of Board Meetings, minute taking, record keeping and distribution of all Board minutes. When and if required, to be determined by the Company Secretary

· Assisting with all Board matters, with consideration to compliance with applicable regulations

· Assisting the Company Secretary with the supply of interest pieces and useable marketing pieces to all Global Board Members

· Maintains discretion and confidentiality in relationships with all Board Members and Executive staff

· Assist in monitoring regular contact and communication with all Board Members, on any and all issues raised.

Education, Qualification and Experience Requirements:

· Bachelor’s degree with financial and managerial background

Financial systems and accountability experience
NGO sector experience
· Experience and interest in internal and external communications, partnership development, and fundraising

· Proficient in computer skills for the executive level including Microsoft Office (outlook, word, excel and power point), and apple Pages software is beneficial

· Skills and or qualification in presentations and the preparation of multimedia presentations

· Writing skills

· Drivers license

· Strong organization skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

· Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, Board Members, external partners and donors

· Demonstrate proactive approaches to problem-solving with strong decision-making capability

· Emotional maturity

· Proven ability to handle confidential information with discretion

Basic Salary R22 000 negotiable. NB: There are strong possibilities of growth in this position
